import data

Asked by Rav Davis

1. Thinking about utilizing iHRIS for our mid-sized behavioral healthcare company.
2. Currently have a "Step" solution Access Database, which we have outgrown.
3. Interested to know the best way to import data into iHRIS Manage--the online help just covers record entry as opposed to importing.
4. Is there a forum type help center, where one can browse the questions and answers of others before posting, in case the issue I am interested in has already been addressed.
This software and this guide to setting up an HRIS is an incredible resource, I have learned so much already!

We would be happy to try to assist you in importing the data. Typically, when importing from an Access database, we will write a PHP script to pull-out some of the relevant fields. If you feel confident in PHP, we can share these scripts with you. Unfortunately, there is no "easy" way as the structure of databases / excel spreadsheets vary quite a ,bit.

How many personnel records are you talking about?

Also, we don't recommend Windows at this point as some of the used PHP libraries for Windows are not being maintained in an active and consistent manor. Do you have the possibility of installing this on a Linux/Ubuntu machine?

We don't have a forum, but you can find us on IRC and mailing lists:

 Carl,
Thank you for you kind reply.
First. I have some experience with SQL (mainly writing report type queries in MSSql), so I am wondering if I could
use some type of query interface with MySql to import at least some of the data quickly. I know of PHP, but don't have any skills worth mentioning there. I understand that my table structure and fields will not be a perfect match, and that in many cases an import will not be feasible.
And since you asked me about how many personnel records we are talking about, I have 318 employees spread out over 24 locations providing a variety of Behavioral Health/Mental Health type services. I see where you are going with this. With 300 employees, Just Entering the data might be the least complex and even time efficient solution.
I do plan on setting this up on a dedicated PC, so I suppose I could do so on a Linux/Ubuntu machine. I am currently using/testing the XP version of iHRIS. And once again my lack of experience with a linux OS gives me pause. If I am using the device just for the iHRIS applications, and was able to get it set up successfully on a linux/ubuntu os, how much time do you think I would have to invest in learning linux/ubuntu in order to maintain this system?
The more I look at the iHIS applications, the more excited I become about the many things it can do and the many efficiencies we would experience in the long run if we used it. However, our executives have no interest and are not willing to invest time or $ on a system. So to get it done, I have to implement without neglecting any other projects, and without complaint from our HR Department (person) who is also overextended. So time investment is an issue.
I know this sounds crazy, I want an excellent HRIS system in place and I don't want to spend any time or money, and I don't want to have any problems during implementation. HA! The situations we work with.
Seriously though, given my limited linux experience, would you still recommend that type of system?
Well I ramble on, but thanks for your feedback, and any further advice you could offer would be valued and appreciated.
Peace,
Rhett

Dear Rhett,
Maintaining an ubuntu machine is not so difficult. It takes a little
bit of time, but it is
fairly user friendly. We have plenty of documentation on setting up
iHRIS on an Ubuntu/Linux
machine on our wiki:
  http://open.intrahealth.org/mediawiki/Technical_Documentation
and have had several people install it w/o any Linux experience.

I think the easiest way to import the data is to write a PHP script that
will read a CSV file.
We have plenty of examples from 3.2 and I will be working on a new one
for 4.0 next week.
The only tricky part is the geography once it get pasts the country
level. That might be
something that can be done by hand if you have the data.

By the way, where are you working?

Cheers.

Thanks Carl,
I looked at the wiki instructions you pointed to, and read your encouragement. I think I can do this.
It doesn't look to difficult, and I can be clever on occasion.
Thanks.
I work in the US for a Behavior Health company funded by the State of Georgia.
We specialize in providing Psychiatric, Pharmaceutical, and clinical services in more rural areas
where

I gather this is a little outside the mission for the USAid project, but I hope this is
still fair use of your software.
If not, please advise.
Peace,
Rhett

Thanks Carl Leitner, that solved my question.
